TRANSLATION OF TRAINING VIDEOS FOR STAFF

Translation of various training videos for employees

Training videos for employees are now a common practice in almost every company and organisation – from a wide range of training videos on the popular online sites Coursera or Udemy to carefully produced in-house video content for employees on the specifics of the company’s business. If your company needs to train and educate employees or users of your online product in different countries, training videos are the way to go. However, when trying to reach international audiences, it is very important to pay attention to quality translation and localisation of the content. And that’s exactly where we come in – Skrivanek!

Educational videos have undoubtedly brought about significant changes in education, knowledge and know-how exchange. They provide a high-quality, demonstrable learning experience that often proves to be more engaging and effective compared to traditional text-based reading resources or presentations. Learning material through more than one sense is certainly more effective and engaging.

Time to see how your company can benefit from the translation of training videos.

WHERE ARE TRAINING VIDEOS USED?

In a word: everywhere. You can use training videos to educate employees, product, app, system users and customers. The most effective training videos help you:

  • learn a new language;
  • understand how a particular device or app works;
  • learn new software;
  • educate your audience about different aspects of law or science;
  • and even help you assemble your furniture!

And thanks to online social video sharing websites like YouTube, you can publish and share your videos for free and reach audiences around the world – but what about the language barrier? Are artificial intelligence tools the solution?

Why are training videos so useful?

There are several good reasons. Firstly, your audience can learn from them at their own pace, from home and often for practically free. After the coronavirus pandemic, when distance learning became the new standard for digital education, this is still and will continue to be the case.

Secondly, your company can show thousands of students/customers how to perform a specific action once – and that saves a lot of time. You don’t have to organise dozens of different workshops – even thousands of learners can access your training content at the same time.

Finally, properly produced training videos can be engaging and highly educational because the material is presented in a highly effective and interactive way.

No wonder they are used by so many companies and institutions. However, if you want to use the same video for other language speaking audiences, you need to make sure you have good translation and localisation.

How to translate training videos?

First, you need to prepare subtitles. If you don’t have this option, there are two other options: dubbing or voice over, but these are more expensive and require a professional sound studio as well as good speech specialists. Nine times out of ten, subtitling is enough for a standard training video.

You can create your own subtitles or use automatic subtitling software. There are many advantages! They allow you to quickly create subtitles in the appropriate language and record the exact time. However, this is only the first step. Subtitles created automatically or with the help of artificial intelligence are usually full of typos or incorrect terms (e.g. they sound similar), the idea does not read and the text is “synthetic”, or maybe the video content is very confidential. This is where the language company Skrivanek comes in. We analyse the automatically generated subtitles, the transcription and check the correctness of the timestamps used. In many cases, the length of the subtitles also needs to be checked. Sometimes sentences are unnecessarily split into several lines, and sometimes the opposite is true, and the subtitle displayed is too long and therefore difficult to read and the idea is not perceptible.

Let’s say you already have a training video and subtitles. Now you need to translate them into another language. And the translator gets to work. Each subtitle is translated and localised into the target language to ensure that the final translation is not only technically accurate and correct, but also natural and easy to understand for the target audience.

Once this part is completed, the translation files are sent to a proofreader who is a native speaker of the target language.

In general, the translation office has to:

  • watch and understand the objectives of each training video;
  • check the accuracy of the timestamps;
  • check the accuracy of the automatically generated subtitles;
  • make any necessary corrections;
  • translate the improved subtitles into the foreign language;
  • check the accuracy of the translation together with the proofreader, who is a native speaker of the target language.

Depending on the complexity of the content, the length and the number of training videos, this service can take up to several weeks. There are also a number of challenges along the way that need attention.

CHALLENGES IN TRANSLATING TRAINING VIDEOS

Acceptable or offensive?

As AI is evolving faster than non-IT people can comprehend and grasp, there are also a number of myths associated with AI. One of the most popular is that AI will take jobs away from people. We are understandably fearful of rapid change and its potential consequences, but experts point out that people who are willing to grow professionally and acquire new skills will never be unemployed. Artificial intelligence is making people’s daily lives easier, has increased productivity and has made room for creativity. This means that people will not be short of work, but their job roles and responsibilities will change.

When translating training videos, it is important to take cultural nuances into account. A training video that is well received and understood in one culture will not necessarily be so in other cultures. This includes not only translating the words, but also adapting the content to the cultural context of the target audience. This requires localisation.

Synchronisation

In training videos, speech is usually synchronised with the presentation material (e.g. diagrams or process steps). Translators need to ensure that the translated content matches the timing of the original, which can be difficult.

Technical terminology

Many educational videos, especially in technical or industrial fields, use professionalisms and technical terminology. Accurate translation of these terms is essential to ensure that the videos retain their high educational value. If your company has a glossary of such terms, it is a great idea to share it with your language service partner of choice.

Qualified translators

We only work with qualified and experienced translators who not only have a strong proficiency in the target language, but also understand the nature of video as an educational medium.

Presentation materials

The translation of training videos is not limited to the translation of spoken or written text; it also includes the translation of visual aids such as on-screen text and diagrams. If your videos contain such material, it is important to specify it when requesting a quote from a language service company.

Best practices for translating training videos

Our mission is to provide high-quality video translations for our clients, so we only use the best methods to ensure a high-quality end result:

Localisation

We never just translate video content, localisation is an equally important aspect of our work. Thanks to this service, we can tailor subtitles to the cultural context and specificities of the target audience. This may require changing visual elements, using culturally appropriate examples or even changing the intonation of the narration. And in the end, it turns out – the effort was worth it!

Quality assurance

We follow and implement strict quality assurance procedures, which include checking the translated content to make sure it is accurate and natural, as well as checking the synchronisation of text and voice.
